Competitive Club Renewal Deadline

· The May 1 deadline is approaching for competitive clubs to renew their membership. As stated on the club application, competitive clubs must have their renewal turned in to their Association by May 1. Renewal application received after May 1st by the Association should be charged the $100 late fee.

· Associations then have until Friday, May 15 to get the club applications to me. If you e-mail/fax club applications, I must receive them by May 15. If you mail club applications, the envelope must be postmarked by May 15. Any renewal competitive club applications that I receive after the May 15 deadline will be charged a $100 late fee.

· Please note that the $100 late fee only applies to competitive clubs that are renewing. So new competitive clubs would not need to pay the $100 late fee if registering after May 1.

· An e-mail was sent April 23 to all of the 2008 competitive clubs that have not yet renewed for 2009 reminding them about the May 1 deadline and the $100 late fee. In the e-mail, I mentioned to the clubs to disregard the e-mail if they have recently submitted their club application to their local Association and also mentioned that several Associations have implemented earlier renewal deadlines.

Club Transmittal Form

· Please be sure to use a club transmittal form every time you remit club applications to the National Office. Transmittal forms allow us to better track and account for every Organizational/Club membership should any problems arise. We recommend you keep a copy of each transmittal form sent to the National Office and utilize the “Batch #” field to further aid our ability to ascertain problems and issues.

· Club transmittal forms are located in the Association Resource Center under the “Forms” link. Or you can also e-mail me and I would be happy to provide you with transmittal forms.

New Grass Roots Fax Number

· The Grass Roots Department has a new fax number. These faxes now come directly to my e-mail. The new fax number is 800-833-1466. This new number is working great and we no longer have any problems with missing pages, blank pages, etc. So any faxes for Andy, Sherry, Carmen, Tricia, Marilyn, or myself can be sent to the new 800 number.

Individual Membership Processing

· Please be sure to process individual membership applications in a timely manner. This is important for insurance issues/claims.

USATF Youth Club: Criminal Background Check Program

12/14/08 - USATF Meeting this Saturday, Dec. 20, 2008
at 9am at Punahou.

November 25, 2008

To: USATF Hawaii Association Official

From: Gordon L. Scruton
Hawaii Association
Certification Chair

Subject: Recertification of Officials
for 2009-2012 Olympiad

At 12:30 pm on January 17 and at 8:00 am on January 31,
2009, at the Punahou School athletics classroom, the Hawaii
Association, USA Track & Field will be conducting a
rules review and the subsequent written testing for the
recertification of presently certified officials (if you
have a USATF officials photo card or number, you are
presently registered) and for others that would like to
become a certified USATF official.

Prior to testing, a brief introduction into the 2008 USATF
Rule Book, the different levels of official ratings and an
overview of the open book test itself will be conducted.
USATF Rule Books will be provided (bring your own 2008 rule
book if you have one) and tests will be taken in small
discussion groups. A check or cash for a one time fee of
$15.00 must accompany each tested official’s answer sheet
to cover the cost of new cards, handling and a new pin.

Starting with the 2009-2012 Olympiad, USATF officials will
have to become members of USATF (annual membership fee is
$29.95, which includes liability insurance coverage for each
registered official). As an incentive to attend and complete
the test by January 31, 2009, the Hawaii Association will
reimburse each official for the 2009 membership fee.
Reimbursement will be provided upon receipt of a copy of the
online registration form, or a check made out to Hawaii
Association USA Track & Field or cash, after
successfully completing the test.

Please direct any questions to me ( Gordon Scruton ) at
261 7999, or email at glscruton@aol.com . You may also call
